How to customise your opt-in’s availability on specific websites

Do you want to limit the availability of an opt-in to a couple of specific websites? Do you need to automatically add an opt-in to your campaigns in order to make sure your forms work under the GDPR? This is easy to do using Qualifio’s opt-in availability rules.

This feature is made to facilitate the use of opt-ins and reduce the risk of error or oblivion when attaching opt-ins to campaigns. It allows you to set availability rules for an opt-in. For example, “if the website is X then don’t show this opt-in in the campaign” or “if the website is Y then make sure that opt-in will be shown to participants”.

How to do it

Each Qualifio opt-in comes with associated availability rules, which you can customise at the opt-in level or at the website level.

At the opt-in level

Note: Opt-in settings are only available to Admin and Marketer users.

To manage an opt-in’s availability rules, follow these steps:

  1. From the main menu, navigate to the Opt-ins.

  2. From your opt-in's Availability per website tab, you can configure the availability of the opt-in based on websites.

  3. The following rules are available for opt-ins:
  • unavailable: Not available in campaigns set to be published on the website.
  • available: Available in campaigns set to be published on the website. 
  • pre-selected: By default attached to campaigns set to be published on the website (opt-in can be detached in the campaign).
  • required: By default attached to campaigns set to be published on the website (opt-in cannot be detached in the campaign).
Opt-ins unavailable by default
When you create a new opt-in, the default rule is that it is unavailable on all websites. You have to set up its availability.

In the example above, the opt-in is configured to be

  • available in campaigns that are set to be published on Website A: the campaign editor will be able to decide whether or not to add this opt-in to the form,
  • pre-selected in campaigns that are set to be published on Website B: the opt-in will automatically be added to the form, but the campaign editor will be able to remove it,
  • required in campaigns that are set to be published on Website C: the opt-in will automatically be added to the form and the campaign editor won’t be able to remove it.

This opt-in will be unavailable in all other campaigns.

For bulk editing

If you have multiple websites to update your opt-in availability on, you can make changes in bulk in the Availability per website tab. Apply the same availability rule to all of your websites, or use the checkboxes to update your opt-in on a selected number of websites. To choose availability settings for multiple websites, follow these steps:

  1. Navigate to your list of opt-ins and select one.
  2. Click Availability per website.
  3. Check the box next to each website you want to update your opt-in on. The boxes next to the websites for which you don't want to update the opt-in availability rule should remain unchecked.

  4. Make a bulk update of selected opt-ins using the Bulk actions drop-down.
  5. Click Save.

At the website level

Note: Website settings are only available to Admin users.

If you want to manage opt-in availability on a specific website:

  1. Navigate to the Publishing section and choose Websites.
  2. Choose the website you want to work with and click the Opt-ins icon on the right.
  3. Click the drop-down next to the opt-in you want to work with and manage its availability as needed:

  4. Click Save.

For bulk editing

If you have multiple opt-ins to update, you can make changes in bulk on the Websites page. Apply the same availability rule to all of your opt-ins, or use the checkboxes to update a selected number of opt-ins. To choose availability settings for multiple opt-ins, follow these steps:

  1. Navigate to your list of websites.
  2. Click Opt-in availability.
  3. Check the box next to each opt-in you want to update. The boxes next to the opt-ins you don't want to update should remain unchecked.

  4. Make a bulk update of selected opt-ins using the Bulk actions drop-down.
  5. Click Save.

Change an opt-in's availability setting

You can change an opt-in’s availability setting at any time, even if your campaign is already set up. Below, we explain what you need to know about switching an opt-in from one setting to another.

  • When you change an opt-in's availability setting, it will retroactively apply to all campaigns on the selected website(s).
  • However, there is one obstacle when changing this setting: it only retroactively applies to the back-office.
  • For example, let's assume that you switch an opt-in from available (or pre-selected or required) to unavailable. If it was previously attached to any campaigns, though it won't be available anymore within the campaign's creation process (back-office), it will remain visible to participants.
  • In that case, you will have to switch the opt-in back to available, detach it from the campaign, then make it unavailable again.

Troubleshooting

I set my opt-in to be available on a few specific websites but it isn't showing up.

Depending on your setup, this will happen if you use multiple campaign languages. The language of your campaign must match that of your opt-in. You will need to double-check the language of your opt-in and of your campaign to make sure they are the same.

Want to set up opt-in availability retroactively?

By default, new opt-in availability rules apply to newly created campaigns. But what do you do when you realise you don't have opt-in availability in place for your website? You can fix this problem by moving forward using Qualifio's availability rules. And you can apply these to your past and current campaigns using our process for creating retroactive rules!

To configure an availability rule to be "retroactive", simply go back to the campaign you want this rule to apply to and save the Form step once again.
