Share tags and tag variables across your organisation

Organisation tags and tag variables let you set up a tag once and use it in every account of your organisation. Change it once, and every campaign, website and template that uses it follows.

If you're looking to share form or mapping variables, see Mapping variables for organisations.

Before getting started

✅ Permission required: Organisation Owner. Only owners can create and manage organisation tags and tag variables. Learn more about user roles.

Your organisation also needs access to Organisation assets. If you don't see this menu, contact your Customer Success Manager.

Create an organisation tag

  1. Open the Organisation menu, then go to Organisation assets > Tags.
  2. Click Create a tag.
  3. Name the tag, choose its category and placements, and add its code, as you would in an account.
  4. Click Save.

The tag is now listed in the Tag Library of every account in your organisation, with the organisation icon. Users in those accounts can add it to their campaigns, websites and templates like any other tag.

ℹ️ Note: Names starting with org_ are reserved for the organisation. Accounts can't create a tag or a variable with such a name.

What accounts can and can't do with an organisation tag

In an account, an organisation tag is read-only. Account users can:

  • add it to their campaigns, websites and templates
  • see its code and where it's used in their account

Only the organisation's owners can edit, pause, archive, duplicate or delete it, from Organisation assets > Tags. Owners also see how many times the tag is used across all accounts.

Important
Changes to an organisation tag apply to every account at once. Pausing or archiving it stops it on all campaigns and websites of the organisation. Deleting it removes it permanently from every campaign, website and template that uses it.

Create an organisation tag variable

Use an organisation tag variable for a value most accounts share, such as a tracking ID, while letting each account or website use its own value when it needs to.

  1. Open the Organisation menu, then go to Organisation assets > Tag variables.
  2. Click Create a variable.
  3. Name the variable.
  4. Enter the Default value for all accounts of the organisation.
  5. Under Allow more specific values, turn on The value can be overridden at campaign level if campaigns may need their own value.
  6. Click Save.

You can use the variable in organisation tags and in account tags: in the tag editor, click {} Variables and pick it from the list. Organisation variables have the organisation icon.

Set account and website values

Only the organisation's owners can edit an organisation variable: its name, its organisation default value and whether campaigns can override it. They can also archive it.

Organisation variables are listed in each account's Tag Library > Tag variables, with the organisation icon. Their definition is read-only there, but the account can:

  • set its own value, used in place of the organisation value for the whole account
  • set values for specific websites of the account

Each account only sees and uses its own values. Another account of the organisation never sees them.

ℹ️ Note: The more specific value wins: Campaign > Website > Account > Organisation default. At the same level, an account variable wins over an organisation variable with the same identifier.

Archive an organisation tag variable

When a variable is no longer needed, archive it from Organisation assets > Tag variables instead of deleting the tags that use it. An archived variable:

  • is hidden from the list (use the Archived filter to see it)
  • can't be inserted into new tags
  • can't be edited, in the organisation or in accounts
  • keeps its current values in the tags that already use it

Unarchive it to edit it again.

Promote an account tag to the organisation

Already built a tag in one account that every account needs? Promote it to the organisation instead of recreating it. The tag keeps its identifier, so the campaigns, websites and templates that already use it switch to the organisation tag without any change on your side.

✅ Permission required: Organisation Owner of the account's organisation.

  1. In the account, go to the Tag Library > Tags.
  2. Open the menu of the tag and click Promote to organisation.
  3. Check the summary: the identifier the tag keeps, and the variables promoted with it.
  4. Choose its Category.
  5. Click Promote tag.

The tag now belongs to the organisation and appears in every account. The account tag is archived.

ℹ️ Note: Only active tags can be promoted. Paused, archived and imported tags can't.

When promotion is blocked

  • Another account has a tag with the same identifier: archive or delete that tag first. Renaming it is not enough, as its identifier stays the same. If it's an identical copy, archive it: the organisation tag replaces it.
  • The organisation already has a tag with this identifier, even an archived one: delete it in the organisation first. Renaming or archiving it does not free the identifier.

What happens to the tag's variables

  • Account variables used by the tag are promoted with it and keep their identifier. Their account value becomes the organisation default, which owners can change later.
  • Website values and campaign values are kept.
  • The account variables are archived.
  • Variables that already exist in the organisation are not promoted: the tag uses them as they are.
Important
If a promoted variable has no account value, the organisation has no default value for it. Set one in Organisation assets > Tag variables, or the tag may have no value in other accounts.

You're done! Your organisation tags now appear in every account's Tag Library. If you need help, contact the Helpdesk.
